Portfolio Assistant
Premium tool. Open from /portfolio-assistant.
Different from the Portfolio Tracker (article 07 / 18 / 19) — which is the structured evidence log. Portfolio Assistant is the AI-supported drafting and review tool that sits alongside it.
What it does
- Takes raw notes from your day (e.g. a tricky case you worked on, an audit you contributed to) and helps you turn them into a structured reflective entry suitable for IBMS portfolio evidence
- Maps your evidence to the specific IBMS / HCPC competency it covers, flagging the strongest match
- Identifies gaps in your portfolio — competencies with no evidence yet, or with thin evidence
- Generates a verifier-ready summary when you near completion
- Supports both Registration Training Portfolio v5 (article 18) and Specialist Portfolios (article 19)
Workflow
- Open
/portfolio-assistant.
- Pick your active portfolio (Registration or Specialist + specialty).
- Click New entry or Reflect on a recent case.
- Paste or type your raw notes; the assistant asks structuring questions:
- What happened?
- What did you learn?
- What would you do differently?
- What is the patient-safety / quality impact?
- The assistant produces a draft reflective entry.
- Edit, then click Map to competencies — it suggests the IBMS competencies this evidences.
- Attach to the Portfolio Tracker (article 07 / 18) with the right competency tag.
Reflective practice prompts
The assistant uses Gibbs' Reflective Cycle as default (Description → Feelings → Evaluation → Analysis → Conclusion → Action plan), with optional alternatives:
- Driscoll's What-So What-Now What model
- Kolb's experiential learning cycle
- Borton's developmental framework
You can change the model from the settings — verifiers often have a preferred one for their region.
Gap analysis
The assistant cross-references your active portfolio against the IBMS evidence-set for your specialty. Output looks like:
- ✅ Strong evidence — competency has multiple linked entries
- 🟡 Thin evidence — only one entry, may need supplementary
- 🔴 No evidence — no linked entry yet; suggested next case to capture
- ❓ Mapping uncertain — your evidence might cover this; verifier may ask for clarification
Anti-patterns the assistant flags
- Description-only reflections with no analysis
- Repeated similar evidence for the same competency (verifier wants breadth)
- Patient-identifiable details in your reflection text (you must anonymise — the assistant flags potential identifiers)
- Discussion of a colleague without their consent
- Reflection without a learning outcome — what did you actually learn?
Privacy note
Portfolio Assistant uses the Gemini-powered AI backend the same as the help chat. Your draft text is processed in transit but not retained beyond the session. Do not paste patient identifiers — see article 24 for our wider data-handling commitments.
Bands and competency mapping
- Pre-registration trainee (any band) — Registration Training Portfolio v5 drafting
- Band 5+ — Specialist Portfolio drafting in your specialty
- Band 6 / 7 — Higher Specialist Diploma drafting (see also
/biomedical-sciences/higher-specialist-diploma-hsd)
- Verifier / training officer — can use Portfolio Assistant to review candidate work before formal verification (separate access mode)
