Organisation administration
If you are an admin of an NHS Trust, university, or training-provider account on PathologyLabTraining, your control surface is the Organisation Dashboard at /organization-dashboard (the page header shows your organisation's actual name). The dashboard has 13 tabs:
Overview · Members · API · Billing · Webhooks · Reports · Analytics · Compliance · Support · Certificates · Content · Domains · Settings
A few tabs (Billing, Webhooks, Compliance, Settings) check isAdmin and show "Admin Access Required" to non-admin members.
What admins can do
- Invite members — Members tab → Invite Members button (single email, bulk, or invite code)
- See aggregated usage — Analytics tab; never individual answers, only trends
- Manage billing and invoices — Billing tab (admin-only)
- Configure SSO — Settings tab → SAML SSO; see SAML SSO for the full setup
- Upload custom interview questions — Content tab; question banks visible only to your members
- Run trials — request a trial via support; trials are time-bound Premium access
- Promote / demote member roles — Members tab → row actions on each member (promote to admin, demote to member)
Inviting members
Open the Members tab and click Invite Members. The invite dialog supports:
- Single email — enter one email address
- Bulk by CSV / paste — paste a list of emails; the system sends individual invitations and tracks acceptance
- Invite code — generate a shareable code in the same dialog. Members go to
/invite and enter the code to join.
- Institutional email auto-enrolment — for trusts and universities that configure an allowed email domain in Settings → Domains (e.g.
*.nhs.net), users signing up with a matching email are auto-offered organisation access on sign-in
The first three reach individuals by name. The fourth is the lightest-touch but requires admin domain configuration first.
Seats and overflow
Most plans have a fixed seat count.
- New invitees beyond your seat limit see "organisation full" until a seat is freed or added
- You can free seats by removing inactive members from the Members tab
- To purchase additional seats, contact [email protected] — adding seats is currently a sales-supported flow rather than a self-serve button in the dashboard
Custom interview questions
Upload your trust's own interview question bank, visible only to your members. Useful when your trust has:
- A custom competency framework
- Local QC scenarios or critical-value protocols
- Specific equipment or LIMS-related questions
- Internal interview preparation material
Open the Content tab. The Content Manager screen lets you upload, browse, search, and filter content items by type. The platform validates the upload format and tags questions for searchability inside your organisation only.
Usage analytics
The dashboard shows aggregated trends:
- Number of active members in the last 30 days
- Total practice tests completed
- Most-used specialties and bands
- Average time per session
You cannot see individual answers, individual progress, or who got what wrong. This is a deliberate privacy boundary; member's personal performance stays private.
Trials and pilots
If you want to evaluate the platform with a small group, request a trial:
- Trials are typically 30 days
- Up to 20 seats for pilot cohorts
- Full Premium feature access during the trial
- Trial converts to a paid plan or reverts to Free at the end
Contact [email protected] to start a trial.
Plan changes and billing
The Billing tab opens the Billing & Invoices panel (admin-only) with three sub-tabs:
- Invoices — past invoices for your organisation; download each as a CSV file (PDF export is not currently supported here — request a formatted PDF invoice from support if your accounts team needs one)
- Payment Methods — update the card or bank details used for renewals
- Billing Settings — billing contact, currency, VAT/tax details
Plan changes, adding or removing seats, and renewal cancellation are not yet self-serve buttons on this tab — email [email protected] and we will make the change (or your account manager will, if you have one).
Removing the admin role
There is no dedicated "Transfer admin" button. Instead, from the Members tab:
- Promote the other member to admin using the role action on their row.
- Once they have admin, you can step down by asking them (or support) to demote you.
If you are the sole admin and need to leave, email support — we will help nominate a replacement or, if no successor exists, wind down the organisation cleanly.
